How to dictate one-on-one notes for engineering managers in 2026

A plain guide for engineering managers to dictate one-on-one notes, with the steps to follow, the tools to try and the mistakes to avoid.

Say your one-on-one notes into the window where they belong while they are fresh, check what the tool typed, then file the record where the week lives.

What you need before you start

A dictated one-on-one note depends on a few things being ready before the meeting begins.

Step by step

These steps work with any tool, including a pen and paper.

  1. Pick the window where the notes belong. Open the editor, note app or form you will keep the record in, and give it the focus.
  2. Say who the notes are for and when. A line with the team member's name and the date at the top makes the record usable later without guessing.
  3. Decide the topics before you talk. A short list, such as progress, blockers and one action each, keeps the dictation on track.
  4. Dictate as the meeting moves. Say each point plainly while the detail is still in front of you. Pause between topics so the text stays separate.
  5. Keep technical detail in your own words. Speak the names, numbers and paths as you would write them, so the note matches the code and tools you use.
  6. Check what was typed. Read the captured text back before you move on and fix anything the tool misheard. This step is where most of the accuracy happens.
  7. Tidy the one-on-one language. Change anything that reads as speech rather than a note, such as filler words that got typed, while you still remember the context.
  8. Confirm the next actions. Make sure each agreed action lands in the note with an owner, so the meeting ends with a done list.
  9. Save and file the note. Put the record where it belongs and note any action that needs a task or a calendar follow-up.
  10. Review before the next meeting. A quick read before the follow-up keeps the previous one-on-one in the conversation.

Tools that can do it

You do not need software for this. Here are options to consider.

Pen and paper. You write names and key words as you talk. Nothing is published here about price or limits because it depends on what you already own.

A voice memo on a phone. You record the meeting on the phone's recorder, then play it back to type the notes later. A phone's built-in recorder has no published fee here, so check the device's own page for limits and any cost before you rely on it.

QuickDictate. QuickDictate is made by the team that publishes this site. QuickDictate is one option. QuickDictate is a Windows program that types what you say into whichever window you are using. [1] It runs only on 64-bit Windows 10 and 11, with no Mac or Linux version. [1] Hold a key while you talk, or press it once to start and once to stop, and both keys can be changed. [1] With five of the cloud providers, words appear while you are still talking. [1] Choose Local in Settings and install a speech model, and dictation then needs no internet connection or API key. [1] QuickDictate can use several providers for cloud speech, such as ElevenLabs, Deepgram, OpenAI, AssemblyAI, DashScope or Google, and that provider bills you directly. [1] It is free for personal and other noncommercial use, with no subscription or account; cloud providers bill you separately for their service. [1] From v0.9.0 on it is source-available under PolyForm Noncommercial 1.0.0, so commercial use needs a separate licence. [1] It is delivered as an .exe file on GitHub with a built-in updater. [1]

Common mistakes to avoid

Dictating without a clear window. If no window has focus, or the dictation lands in the wrong one, the note ends up lost. Check where the text is going before you start.

Skipping the read-back. A dictated note you never check can carry misheard names or numbers. Read it back in the meeting and fix errors while you still have the context.

Saving only the audio. A recording without text means a second pass to transcribe it later. Save the written note instead and keep the audio only if you truly need it.

Leaving actions out of the note. A one-on-one that ends with no confirmed next steps gives no one anything to do. Make sure each action is written down with an owner.

Rushing the technical detail. Names, paths and numbers get misheard when spoken fast. Slow down on the exact parts.

Never reviewing past notes. If the follow-up keeps missing what was agreed, change how the notes are taken rather than re-taking them the same way.

Frequently asked questions

Can QuickDictate type directly into an engineering manager's notes?

Yes. QuickDictate is a Windows program that types what you say into whichever window you are using, such as the note app, chat box, terminal or web form that has focus. [1] Hold a key while you talk, or press it once to start and once to stop, and both keys can be changed. [1]

Does QuickDictate work without an internet connection?

Yes, when a local option is set up. Choose Local in Settings and install a speech model such as Whisper Large v3 Turbo, and dictation then needs no internet connection or API key. [1] With the cloud option, a provider such as OpenAI, Deepgram or Google handles the speech and bills you directly. [1]

What does QuickDictate cost?

QuickDictate is free for personal and other noncommercial use, with no subscription or account. [1] Commercial use needs a separate licence, because from v0.9.0 on it is source-available under PolyForm Noncommercial 1.0.0. [1] Cloud provider bills come from the provider, not from QuickDictate, and are billed separately. [1]

Can QuickDictate show text while the manager is still talking?

Yes, with five of the cloud providers, words appear while you are still talking. [1] This lets a manager read the note as it lands and spot a misheard term during the one-on-one. A saved history of the last 50 dictations can be browsed and filtered in Settings. [1]

Is QuickDictate available on a Mac or a Linux machine?

QuickDictate runs only on 64-bit Windows 10 and 11, and there is no Mac or Linux version. [1] For a machine with a different operating system, check what the note app or that operating system's own dictation offers before choosing a tool.

QuickDictate is free for personal and other noncommercial use, with no subscription or account. Cloud providers bill you separately for their service. [1]
